We have chosen the services of TransIP BV for our web hosting. Personal data that you make available to us for the purpose of our services is shared with this party. TransIP BV only has access to your data to provide us with (technical) support; they will never use your data for any other purpose. Promidata BV is obliged, under the agreement we have concluded with them, to take appropriate security measures. These security measures consist of the application of SSL encryption and a strong password policy. Regular backups are made by TransIP BV to prevent data loss.

We obtain domain hosting and email services from TransIP BV. TransIP BV does not process personal data and does not use your data for its own purposes. To maintain our administrative records, we use the software of e‑Boekhouden.nl. We share your name, address, place of residence details, and details regarding your order with this software. This data is used for administering sales invoices. Your personal data is also transmitted and stored securely. e‑Boekhouden.nl is therefore bound by confidentiality and will treat your data confidentially. e‑Boekhouden.nl does not use your personal data for purposes other than those described above.

Purpose of data processing

General purpose of the processing

We use your data solely for the purpose of our services. This means that the purpose of the processing is always directly related to the assignment you provide. We do not use your data for (targeted) marketing. Retention periods

We retain your data for as long as you are a client of ours. This means that we keep your customer profile until you indicate that you no longer wish to use our services. If you indicate this to us, we will also treat this as a request to be forgotten. Pursuant to applicable administrative obligations, we must retain invoices containing your (personal) data, so we will retain this data for as long as the applicable period runs.
However, employees no longer have access to your client profile and documents that we have produced as a result of your order.

Your rights

In principle, to prevent misuse, we only send transcripts and copies of your data to the email address already known to us. We maintain records of processed requests; in the case of a request to be forgotten, we administer anonymised data. You will receive all transcripts and copies of data in the machine-readable data format that we use within our systems.

You have the right at all times to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) if you suspect that we are using your personal data incorrectly.

Right of access

You have the right to inspect the personal data we process about you at any time. We therefore offer you this option. When you log in to your account, you will immediately see an option "My personal data". There you have the option to download a file containing only the personal data we have on you. We will handle your request within one working day, provided we have verified your identity. You will then receive a response to your request within 30 days. If your request is granted, we will send a copy of all data to your email address known to us, together with an overview of the processors holding this data, stating the category under which we have stored this data.

Right to data portability

You always have the right to have the data that we process (or have processed) and that relates to your person or can be traced back to you, carried out by another party. You can submit a request to that effect to our privacy contact person. You will then receive a response to your request within 30 days. If your request is granted, we will send transcripts or copies of all data about you that we have processed, or that has been processed on our instructions by other processors or third parties, to the email address known to us. In all probability, we will no longer be able to continue providing services in such a case, because the secure connection of data files can then no longer be guaranteed.

Right to object and other rights

Where applicable, you have the right to object to the processing of your personal data by or on behalf of Shipsworld.NL B.V. If you object, we will immediately cease data processing pending the handling of your objection. If your objection is justified, we will make transcripts and/or copies of data that we process (or have processed) available to you and then permanently cease processing.
